Organisation Overview

Upward Mobility is a registered Scottish charity working in Edinburgh and the Lothian’s providing innovative, educational workshops and personalised support for people with learning and other complex disabilities.  Our goal is to promote the self-confidence and social welfare of our students through assistance to engage with meaningful and progressive educational activities, aiding their development of practical, social and life skills and their ability and confidence to participate more fully in society.

 

PURPOSE OF POST: To work providing high quality administration support to our HR Manager and Operational Team, when required.

MAIN RESPONSIBLITIES:

  • To arrange interviews and training dates, post vacancies, request references, create and

maintain staff files.

  • To update rostering system and other systems.
  • Preparation of contracts and appendix.
  • To take minutes of meetings.
  • To assist with developing and maintaining effective filing and information retrieval

systems for both electronic and paper documentation.

  • Update spreadsheets and databases, filing, research, shredding, copying, scanning, typing,

mail mergers, telephone calls and management of the info@ email address.

  • Assisting with arrangements of Board meetings, including booking venues, catering etc. as

required.

  • To undertake any other duties or responsibilities which may be required and are

commensurate with the post.

 

Support (When required)

To work as part of a team providing high a quality support and program for our students to assist them in developing practical, social and life skills in order to participate more fully and more independently in society – reflecting the strategic objectives of Upward Mobility.

Conditions

  • Maintain confidentiality and commit not to divulge information to third parties unless

agreement to share information has been given in writing and agreed by the Support Service Manager.

  • Read and abide by Upward Mobility Policies and Procedures. These are updated by HR

management on an annual basis and will therefore need to be re-read annually by all staff.

  • Work in accordance with your job description/contract of employment and any policies and

procedures of Upward Mobility.

students, staff members, trustees and Upward Mobility as a charitable organisation.

  • Participate in training courses / seminars as required.

PERSON SPECIFICATION

Essential Skills:

  • Proven ability to work under pressure and meet strict deadlines.
  • Proficient at minute taking.
  • Good organisational skills.
  • Effective verbal and written communication skills.
  • Proficient in the use of Word, Excel, internet including email and Outlook.
  • Ability to prioritise and organise own workload.
  • Confident telephone manner and good level of spoken English.
  • Ability to work autonomously and productively as part of a team.
  • Ability to be flexible in meeting the changing needs of the Project.
  • An understanding of the needs of adults with learning disabilities who are vulnerable within

society.

POST: Administration Support

Report to: HR Manager.

Salary: Between £16,575 – £17,550 depending on experience pro rata.

Hours of work: Between 24 – 37.5 hours per week
